1. Who we are

CyberCore Sync (“we”, “us”, “our”) is an artificial intelligence and technology services studio located at House 407, Avenue 3, Road 6, Mirpur DOHS, Dhaka, Bangladesh, 1205. We operate the website cybercoresync.com and provide AI strategy, custom software, machine learning, automation, data analytics and related services. This Privacy Policy explains how we handle personal information of website visitors, prospective clients, clients, job applicants and their representatives.

2. Information we collect

We collect only what we need for clear purposes:

Contact details you provide by email, phone, WhatsApp or in person — such as your name, job title, company, phone number and email address.
Project information you share when describing a business challenge, including documents, sample data and system details.
Recruitment information such as CVs, portfolios, academic records and references when you apply for a role.
Technical data collected automatically when you browse our website, such as IP address, browser type, device information, pages viewed and referring URL.
Cookies and similar technologies as described in our Cookie Policy.

3. How we use your information

To respond to enquiries, schedule discovery calls and prepare proposals.
To deliver, support and improve the services agreed in a contract with you.
To manage billing, invoicing and payments, including bank transfers and mobile financial services such as bKash or Nagad.
To evaluate job applications and communicate with candidates.
To maintain website security, prevent fraud and understand how visitors use our site.
To send occasional updates or insights where you have agreed to receive them — you can unsubscribe at any time.
To comply with legal, tax, accounting and regulatory obligations in Bangladesh.

4. Client project data and AI models

When clients share datasets, documents or system access for a project, we act on their instructions and use that data solely to deliver the agreed services. We do not use one client’s data to train models or products for another client. Where required, we sign a data-processing agreement describing storage location, access controls, retention and deletion. Personal data inside datasets is minimised, pseudonymised where practical, and accessed only by authorised team members bound by confidentiality obligations.

5. Legal basis and consent

We process personal information on the basis of your consent, the performance of a contract with you or your organisation, our legitimate business interests (such as responding to enquiries and securing our systems), and compliance with legal obligations under the laws of Bangladesh. You may withdraw consent at any time without affecting processing already carried out.

6. Sharing and disclosure

We may share information with carefully selected service providers who help us operate — for example cloud hosting providers, email and collaboration tools, accounting software and payment processors — under contracts that require them to protect it. We may disclose information where required by law, court order or a lawful request from a government authority in Bangladesh, or to protect the rights, safety and property of our clients, staff or the public. We never sell personal information.

7. International transfers

Some of our cloud and software providers may store data on servers outside Bangladesh. Where this happens, we choose reputable providers with strong security certifications and apply contractual and technical safeguards. Clients may request that project data be hosted only in Bangladesh or in a specific region, and we will design the solution accordingly.

8. Data security

We apply administrative, technical and physical safeguards including encryption in transit and at rest, role-based access, multi-factor authentication, secure development practices, regular backups and staff training. No system is completely secure, but we work continuously to protect your information and will notify affected clients promptly if we become aware of a security incident involving their data.

9. Data retention

We keep personal information only as long as necessary for the purposes described above. Enquiry records are generally retained for up to 24 months, client contract and financial records for the period required by Bangladeshi tax and company law, and job applications for up to 12 months unless you ask us to delete them sooner. Project datasets are returned or securely deleted at the end of an engagement as agreed in the contract.

10. Your rights

Subject to applicable law, you may ask us to:

confirm whether we hold personal information about you and provide a copy;
correct inaccurate or incomplete information;
delete information we no longer need;
restrict or object to certain processing, including direct marketing;
withdraw consent you previously gave.

11. Children’s privacy

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 18. Where an education client’s project involves student data, it is processed only under the client’s instructions and applicable safeguards.

12. Changes and contact
